Vice President - Maintenance Operations

Overall Responsibility:
The Vice President - Maintenance Operations is responsible for the short- and long-term maintenance objectives of their portfolio of assets, overseeing a team of Regional Maintenance Managers and Maintenance Supervisors to ensure that the physical condition, appearance and capital needs of the apartment communities are achieved. The VP must be technically proficient with a hands-on attitude and possess exceptional leadership and communication skills. The VP must be willing and able to set a consistent example of leadership skills and demonstrate a professional demeanor. Ability to work well in ambiguous or changing situations.
Education/Certificates:
- High school diploma or equivalent required. Bachelor's degree or Technical degree preferred.
- CAMT designation is a plus
Experience:
- 10 or more years' progressive maintenance management responsibility required. Prior multi-site management preferred.
- Multifamily apartment experience required.
- Experience with Yardi or other property management accounting software.
- Strong working knowledge with Microsoft Excel, Word and Outlook.
- Strong working knowledge with smart phones, tablets and apps process.
Operating Standards:
- Procurement of Master Service Agreements for all items related to maintenance
- Coordinate and oversee work by subcontractors
- In conjunction with the Regional Maintenance Managers, develop consistent maintenance operating standards and procedures
- Analyze maintenance and capital replacement costs with focus on cost savings and economies of scale
- Ensure all contract services are bid out annually
- Diagnose and perform major maintenance/repairs as needed
- Constantly be aware of the condition of physical property throughout the community and immediately correct unsafe conditions (i.e., broken gates leading to pools, broken steps, open holes, broken/burned out exterior lights, nonfunctioning vehicle and pedestrian access systems).
- Report all major repairs and requisitions to the Regional and Community Manager prior to any expenditure of funds
- Continually review assets for curb appeal, life safety and asset preservation issues
Skills, Knowledge & Abilities:
- Ability to read, write, understand, and communicate in English.
- Experience using Yardi or other related property management accounting software.
- Experience using Microsoft Outlook, Word, and Excel.
- Professional verbal and written communication skills.
- Superior customer service skills including the ability to manage difficult customers and/or situations.
- Strong attention to detail, organizational, time-management and problem-solving skills.
- Strong knowledge in the areas of OSHA standards, safety, facilities maintenance, capital improvements and maintenance related purchasing.
- Strong knowledge of plumbing, electrical, mechanical, HVAC, carpentry, fire protection, structural, roofing, concrete, paving, painting, landscaping and appliance repair work.
- Working knowledge of local, state, and federal laws and regulations, permit processes, and codes.
- Working knowledge of abatement and encapsulation process for hazardous materials
- Working knowledge of multifamily facility management, and the equipment and tools necessary to carry out housekeeping and maintenance functions.
- Ability to develop, comprehend and manage capital budgets.
- Strong leadership and management skills; ability to direct a team and supervise vendors.
- Ability to work a flexible schedule to include weekends, evenings and holidays.
- 40-50% Travel is required. Varies by region.
Essential Duties:
- Oversee the Regional Maintenance Departments and all related tasks and activities.
- Provide leadership and training, including direct supervision of Regional Maintenance Managers. Work with the Regional to properly forecast capital budgets, coordinate maintenance inspections, capital work, training, etc. and to assure timely completion of all tasks.
- VP of Maintenance shall be responsible for quality and quantity of all RMM staff duties within assigned region(s).
- Work with Regional Maintenance Managers to assure regional property support as required.
- Responsible for procurement including coordinating and negotiating (as required) with national contracts, agreements, and programs.
- Assists RMM in ensuring the execution of all Fairfield policies and procedures including but not limited to:
- Mold Prevention Response Program (MPRP)
- Asbestos / Lead Protocol
- Bed Bugs
- Emergency Site Map and Emergency Supplies/Action Plan
- Required Inspections
- Assists in coordinating redevelopment work with Construction and Property Management, as needed.
- Assists RMM & MS in diagnosing problems and repairs in the areas of HVAC, electrical, plumbing, swimming pool, carpentry, dry walling, exterior structural, and appliances, as needed
- Assists in supervising all work by outside contractors to ensure that they are completing their work satisfactorily.
- Ensures a regular inspection of all common area lighting, sprinkler systems, fire prevention systems and fire extinguishers as outlined in the Safety Risk Manual.
- Maintains compliance with EPA and OSHA regulations; hazardous chemicals program; as well as the Safety Risk Manual forms and checklists, per schedule.
- Cross trains, coaches and develops qualified candidates for future opportunities within the company.
- Analyzes and evaluates cost control, inventory management and work order trends, making recommendations accordingly.
- Establishes and implements cost savings and/or value added services and products.
- Makes recommendations regarding safety and liability practices and procedures.
- Promotes and participates in company required training programs and ensures subordinate associates participate in all training classes within required timeframe.
- Complies with all Fairfield standards, applicable health and safety rules and regulations, as well as applicable local, state, and federal laws.
- Any other duties or responsibilities that may be assigned.
- Arrange relevant training seminars with approved outside services when available.
- Establish and monitor preventative maintenance procedures for on-site maintenance personnel.
- Visit properties as necessary to assess conditions, coordinate planning, or review schedules with property staff.
- Assist in coordinating purchase of tools, equipment, parts and supplies to assure the best quality and price is obtained.
- Assist National Environmental Manager with assessment and documentation of environmental issues. This is to include any and all follow up resulting from and involving environmental issues. Provide information and back up to the property team, as needed, for coordination, oversight and vendor interface.
- Assist in the development of "Scopes of Work" for all capital improvement projects on his/her assigned properties.
- Assist Acquisitions with inspections and assessment of prospective redevelopment properties.
- Provide onsite assistance during emergency situations such as fire, flood etc.
Estimated Rate of Pay:
$200,000.00 - $240,000.00
This position is exempt; the range above reflects annual salary.
The pay range displayed for this position is determined by skills and experience required, location and job complexity*. Potential job offers may vary based on the skills, education, and experience an individual candidate holds. This range reflects base rate only, and does not include allowances, perks, commissions or bonuses applicable to this position (if any).
