Sr. Contract Manager

The University of Miami has an exciting opportunity for a Full Time Sr. Contract Manager to work Hybrid in Hialeah, FL.

Core Summary

The Sr. Manager, Contracts - Supply Chain (H) leads collaboration with the Uhealth Procurement team, and guides, trains, and facilitates. The Sr. Manager, Contracts - Supply Chain (H) manages contracts, including procurement strategy development, market analysis, contract negotiation, and supplier selection to ensure high-quality goods and services at the lowest cost. The incumbent demonstrates expertise in procurement laws and practices and provides strong leadership in negotiation strategies across the acquisition lifecycle.

The Sr. Manager, Contracts - Supply Chain (H) consults with internal and external clients on sourcing, contracting, and ERP processes. The manager collaborates with Value Analysis Chairs, Service Line Leaders, and the Supply Chain team to evaluate and implement new supplies/services and conduct audits on pricing and utilization.

Core Responsibilities

  • Manages sourcing and contracting initiatives from conception to completion, leveraging various internal and external contacts to ensure effective financial stewardship and responsive customer service.
  • Collaborates and develops strong working relationships with various department heads, faculty, researchers, and materials management staff to create healthy markets and a competitive sourcing environment to ensure all price and product information associated with contracted items is accurate and up to date.
  • Conducts frequent meetings to identify major sourcing or contracting opportunities. Proactively develops projects and timeframes necessary to meet objectives. Leads "time-limited/subject focused" teams and standing teams to identify opportunities to source and implement effective strategic sourcing and contracting strategies for the university.
  • Participates in clinical value analysis teams, stakeholder and departmental meetings representing the department, conveying the philosophy, and demonstrating the principles, of supply chain management to user departments.
  • Identifies and develops cost reduction initiatives, including alternative strategies for implementation consideration.
  • Assembles and presents business cases to include data analysis, supplier capabilities/differentiation, market data and business requirements.

Department Specific Functions

The Senior Contract Manager is the lead representative working directly with the University of Miami & UM Health Procurement team. This includes but not limited to providing and executing direction, guidance, training to employees, and facilitating standard workflow within the system. This position will not only provide direction and recommendation to staff and leaders but also ensure a systematic approach is applied for all procurement efforts.

Overall responsibilities involve strategic contract management duties to include development of procurement strategy in collaboration with stakeholders, market/financial analysis, contract development, supplier/vendor negotiations and selection of equipment, supplies, services, and construction. With limited direction, this position requires effective team leadership of supplier negotiation strategies, including the ability to develop and implement all levels of the acquisition life cycle to include RFX, BAA, NDA, MSA, and SOW. Overall obtaining goods and services at the highest quality and lowest cost to the University of Miami system. A working knowledge of the procurement laws, statutes, regulations, principles, processes, and practices of professional procurement are required.

Customer service is the focus of the Senior Contract Manager role, providing consultation to internal and external customers regarding Sourcing/Contracting and ERP system policies and processes. The Senior Contract Manager is a critical member and leader to the Procurement team and a trusted leader to the University of Miami & University of Miami Health System and their affiliates.

They will work with the Value Analysis Chairs, Service Line Leaders, and Supply Chain team to conduct evaluations, trials; facilitate introduction and implementation of new supply and/or service; conduct periodic audits to validate pricing, utilization, and projected financial implication for the system.

  • Leads "time-limited/subject focused" teams and standing teams to identify opportunities to source and implement effective strategic sourcing and contracting strategies for major categories of UM spend and standardization for the system.
  • Partners with Procurement Operations and Supply Chain Informatics to ensure all price and product information associated with contracted items is accurate and up to date per contract.
  • Coordinates the execution process of approved contracts, including required signatures, routing of documents to the appropriate parties, updating item master pricing and filing executed contracts within ERP.
  • Contract review and negotiation (interfacing with Legal department when needed), with the authority to execute contracts within the parameters of the UM Signature Authority Policy.
  • Oversees the development of complex purchase orders.
  • Analyzes processes, recommends internal improvements, and assists in reviews of procurement policies and procedures.
  • Adheres to the UM Code of Conduct and Ethics Standard, displaying, as applicable, ethical behavior in the areas of business ethics, legal compliance, confidentiality, conflicts of interest, vendor relationships, and the reporting of questionable activities
  • Maintains confidentiality of patient and financial information in all dealings with suppliers and other non-UM entities.

Core Qualifications

  • Bachelor's degree in related field. Preferably in healthcare administration, business, supply chain preferred
  • Minimum 5 years of relevant experience
  • Five (5) years of progressive experience in contract management of products/services, market analysis, contract analysis, contract negotiation and financial analysis, preferred.
  • Two (2) years of healthcare or academic/research experience and a proven track record in the following areas: value analysis, process improvement, strategic contract management, and expense reduction preferred.
