General Overview:

The Senior Project Manager is a central resource supporting Nursing Leadership to ensure efficient operational units within Patient Care Services. Responsible for supporting the weekly payroll/scheduling process, auditing payroll records, processing payroll corrections, and orienting and training all new Operations Managers and Nursing Management to the Scheduling system, as well as providing ongoing Kronos educational support to the current Operation Managers. Provides ongoing back up support for vacations, leave of absence or vacancy.

Principles Duties and Responsibilities:

• Audits payroll for the cost centers within the department of Patient Care Services.

• Reviews Monday morning payroll files audits cost centers in order to ensure accurate and appropriate data entry by Operations Managers and assess training needs

• Runs tracking reports to check for data/potential payroll errors and corrects as appropriate

• Processes payroll corrections on a weekly basis and coordinates training sessions aimed at reducing payroll errors

• Maintains the yearly Scheduling Deadline Schedule

• Orients and trains new Perioperative Operations Managers and staffing coordinators to payroll, emphasizing data integrity and confidentiality. And, provides ongoing direction and support to the Operations Managers.

• Maintains the continuing operations and integrity of the Kronos system.

• Provides vacation, sick or leave of absence coverage.

• In the case of a leave of absence the Senior Project Manager performs all the functions of the Operations Manager, e.g., change of status, etc.

• Develops agenda for monthly meetings.

• Manages the minutes from the monthly meetings.

• Coordinates the payroll run schedule.

• Coordinates the establishment of Agency Purchase Order.

• Supports the tracking the licenses for perioperative RN's and CST's

• Distributes reports to Nurse Directors and ACNO's and provides follow up review as needed.

• Responsible for running monthly overdue evaluation reports and distributing to Nurse Directors.

• Responsible for maintaining perioperative Outlook mailing lists and email distribution lists

• Produce and maintain management data related to operational needs and projects, as requested.

• Responsible for coordinating computer and phone distribution and upgrades for Perioperative Nursing Leadership

• Supports payroll submission for Department of Anesthesia for CRNA staff to ensure appropriate pay codes are applied.

• Meets with Perioperative Nurse Leaders weekly to review scheduling and staff requests

• Maintains and updates time and attendance spreadsheet to monitor staff compliance, alert department nurse leader when staff have exceeded the designated thresholds.

OTHER DUTIES:

• Develops Ad Hoc reports based on the criteria defined by Nurse Directors or Associate Chief Nurses.

• Manages the Perioperative Time Office personnel.

• Performs other duties, as assigned.

• Participates on Nursing, Hospital, or Partner's Healthcare System teams, as appropriate.

• Participate and Manages operational projects related to perioperative staffing and scheduling

Qualifications:

• Bachelor's Degree required, Masters preferred.

• 3-5 years of healthcare or related experience.

• Strong analytical, organizational, interpersonal and demonstrated customer service skills

• required.

• Supervisory experience required.

Skills and Abilities:

• Demonstrates competence in each of the following programs: Excel, Microsoft Word, Access, Powerpoint, Kronos, Quadramed.

• Ability to prioritize, complete tasks as assigned and manage multiple activities simultaneously.

• Ability to work under pressure in a fast paced environment and meet deadlines.

• Excellent communication skills - verbal and written.

• Ability to supervise the work of others in a lead capacity.

• Strong interpersonal skills in order to communicate effectively with a diverse group of hospital and non-hospital personnel.

• Ability to foster a team environment and work as a team member.

• Strong financial/accounting skills.

• Independent judgment needed to organize work and set priorities.

• Understanding of medical terminology

• Demonstration of flexibility and willingness to adapt to diverse roles as a member of the Patient Care Services team.

• Ability to assess individual learning needs and customize training.
