Position Purpose:The Program Coordinator for Stewardship is responsible for the implementation and execution of stewardship programs, planning and logistical support for a wide range of projects, data management, and administrative support for the Stewardship team to ensure smooth operation in a fast-paced, dynamic environment.
Reporting to the Director of Stewardship, the Program Coordinator is engaged in the administrative activities of our comprehensive stewardship program with a focus on conveying gratitude, the value of giving, and the importance of maintaining/growing donor relationships. The coordinator works cooperatively with a wide variety of colleagues, including leadership, faculty, staff, students, and alumni, to help execute stewardship programs and strategies. This position works with highly confidential information on a daily basis and uses discretion in sharing information with internal and external stakeholders.
Associates plus 2-3 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities:Skills & Knowledge
* Excellent written and verbal communications skills.
* Exceptional customer service skills. Demonstrated ability to work with a diverse constituency in a consistently positive and productive manner - including clinical patients, donors, alumni, and colleagues.
* High degree of comfort with complex systems and the desire and ability to learn new systems as needed.
* Knowledge of Microsoft suite and data entry experience preferred.
* Ability to manage shifting workloads and changing priorities with grace and tact.
* Strong attention to detail, ability to work independently and as part of a team as necessary.
* Ability to handle sensitive and confidential information.
* Commitment to diversity and to serving the needs of a diverse community.

Experience
* 1 - 3 years of stewardship experience preferably in a medical or academic environment.
Education
* Associates' degree or the equivalent combination of education and experience.
* Experience leveraging information systems and business practices to enhance donor experiences preferred.

Description:Project Coordination
* Organizes, manages, and executes donor recognition in the form of honor rolls, donor listings, donor signage, and other forms of public recognition.
* Organizes, manages, and executes the communication efforts for stewardship engagement programs based on donor behaviors such as: first time, tribute, consecutive, loyal, and other segments of our donor population.
* Organizes, manages, and executes acknowledgment deliverables including the production, approval, and launch of multiple print and multi-media deliverables.
* Organizes, manages, and executes annual giving stewardship including the production, approval, and launch of multiple print and multi-media deliverables.
* Organizes, manages, and executes stewardship tchotchke program including the production, approval, and inventory of gift items.

Description:Data Management
* Ensures that appropriate systems are maintained in a consistent, accurate manner.
* Works closely with other team members in Advancement Services to ensure that we regularly capture and maintain key data points for all the programs overseen by Stewardship.
* Develops various outputs, reports and files from multiple systems.
* Has the ability to troubleshoot problems and recommend improvements to systems, reports, and other outputs.
* Works on data enhancement and integrity projects for Stewardship.
* Update and keep current process documentation.

Description:Calendar, Administrative Management and General Office Support
* Coordinates and schedules a variety of multi-participant meetings and activities to support the functions of the stewardship team, updating schedules and plans as needed.
* Tracks Stewardship budget
* Manages ordering and maintains inventory of printed materials including letterhead, reply forms, envelopes, etc. for direct mail programs.
* Stays abreast of changes and innovations relating to office software, especially Smartsheet, and communicates changes to team to ensure optimum use of the products.
* Performs other duties as assigned
