Primarily dealing with all leasing aspects of the Leasing Operation for the client's 20 parcel portfolio encompassing over 600 residents, exclusive to the Medical Center known as New York Presbyterian and Cornell and Columbia
Job Description
The Portfolio/Leasing Coordinator provides organizational and administrative support for the Leasing and Management staff and is responsible for all administrative activities related to apartment rentals, including auditing advertisements, making appointments (via phone or computer), managing day to day activities, review and analyze leases and amendments, inform leadership of critical issues and preparing lease documentation in accordance with the companies established policies and procedures.
- Reports to the Leasing Director and the senior Portfolio Coordinator is responsible for all aspects of the leasing operation, including the marketing and leasing of apartments of about 925 units for Medical staff on the Columbia campus of NYP for the client - Royal Charter Properties Inc.
- Recording and logging of check remittances (i.e. initial security deposits and initial rent payment).
- Interviews, corresponds and answer all inquiries from eligible personnel seeking Hospital housing via phone inquiries and walk-in traffic.
- Prepare and process rental apartment applications
- Provide exceptional customer service to prospective renters while processing their applications
- Provide application status updates to prospective renters, resolve discrepancies when possible, or refer them to a senior staff member for resolution, all to ensure quality customer service.
- Proactively follow up on all leasing applications and monitor turnaround time goals.
- Assist with special projects as needed by Leasing Coordinator and Director.
- Responsible for assigning all eligible personnel to Hospital housing. Prepare housing assignments, prepare license agreements, arrange payment format and execute such agreement with prospective resident.
- Responsible for maintaining all pertinent apartment and tenant records (i.e. license agreements, correspondence etc.)
- Coordinate, inform and advise the full spectrum of the move-in process for all incoming residents (i.e. what is required, answer inquiries)
- Greets and receives all visitors to the Leasing office and directs their inquiry to the proper party, if not applicable to her specific duties.
- Generate housing assignments, make initial data entry of same such assignment (and or application) into the company database (YARDI),
QUALIFICATIONS and REQUIREMENTS
- Proficient in Excel, Word and Outlook, as well as, YARDI database.
- Pleasant congenial personality; able to deal with people in hearing their questions, problems, offering solutions sometimes under stressful situations.
- Professional attired and groomed to meet with new potential clients and all VIP recruits to the Medical Center.
- Conduct walking tours of the portfolio, when requested, to prospective residents
- Good verbal communication skills. Requires interacting with both C&W staff and the client's (RCP) staff
- Written skills - write memos, e-mails. Correspondence, updates to residents - current, past and potential
- Able to multi-task, dealing with more than one issue at a time; work under deadlines.
- Willing to familiarize and orientate yourself with all Hospital-owned properties and learn basic departmental procedures and protocols.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $17.00 - $32.28
