Job Description:

The Department of Administrative Services Transportation Services Bureau is looking for an Office Specialist to join their team. The Office Specialist performs duties which include, but are not limited to; Serving as a Customer Service Representative for TSB Administrative office. Acting as a liaison between division, vendors, and State teammates of various agencies, boards, and commissions. Performing administrative support, data entry, invoice processing, records management, agency report preparation, fixed assets, division related projects, and fleet card operations. Provides backup assistance to the Rental and Service Center operations.

Job Duties: Recording, monitoring, and updating statistical information into multiple database systems; Sort, filing, and retrieving documentation. Create various business documents, forms, and spreadsheets. Compile, process, and prepare correspondences, worksheets, reports, and emails, to provide teammates with information for making decisions on daily, weekly, monthly, and annual operations. Review fleet card transactions and activities. Answer telephone, email correspondence, refer calls or walk-in customers. Compiles and checks documents, records, and reports to confirm accuracy, completeness, and status of information, process requests or transactions, and provide supervisors or other employees with information. Prepares reports, documents, and presentations through the manipulation of data. Researches and summarizes pertinent data from statistical, financial, work activity, administrative, and program records; create forms, documents, and textual-numerical-graphic material, to assist others in collecting and presenting information for decision-making. Assists with State fleet administrative operations. All other duties assigned within the scope of the classification.
Requirements / Qualifications
Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
Preferred Qualifications: Experience working in the automotive industry and/or a vehicle fleet environment.
Other: Regular and Reliable attendance is required.
Knowledge, Skills and Abilities: Excellent customer service, phone, and email correspondence skills; detail-oriented, organized, ability to multi-task, maintain accurate records, and documentation; works under minimal supervision, and be self-motivated. General office equipment experience (Computers, printers, copiers, scanners, fax machines, label makers). Proficient in Microsoft Office Suite (Word, Excel, and Outlook) and Adobe Acrobat. Experience in performing records management and office support activities such as: coding, sorting and filing; retrieving documents using established filing systems. Research and analysis of technical data, inputing tracking activities into reports; prepare, proofread, and correction of informational documents, and reports. Interacts and maintains a close working relationship with diverse individuals. Act in accordance to the program/administrative policies and directives. Work professionally with the public and employees.
