Job Title: Meetings Manager

Location: Remote US

Description

The Meetings Manager will collaborate across the organization with various stakeholders to deliver meetings that are aligned with the objectives of our business partner's and compliant with all corporate policies and industry guidelines. Responsible for program development from concept to completion, budget forecasting and planning, contract management, project management and supplier management while providing exemplary customer service. Galderma meetings to include internal Commercial Sales Meetings: National Sales Meetings, Product Launches, POAs, Train the Trainer, Manager Meetings, and Incentive Trips.

Key Responsibilities

  • Sole point of contact with business partner through program development to completion of meeting.
  • Understand business partner's meeting objectives and evaluate program/event histories, budget considerations and contractual provisions.
  • Develop, communicate, and manage a project plan and meeting agenda in support of meeting objectives and timelines.
  • Manage and provide oversight of all financial and budget requirements: budget approvals, purchase orders, invoice approvals and monthly budget forecasts.
  • Manage venue sourcing, final venue selection and venue contract negotiations.
  • Manage logistical components such as communications, meeting space, room set-ups, food and beverage, technology, audio visual and production, sleeping room reservations, ground transportation and on-site management.
  • Manage program materials including registration, invitations, confirmations, on-site meeting app, name badges, and surveys based on the need.
  • Manage meeting suppliers including venues, meeting management companies, production companies, etc. to ensure focus on stated meeting objectives.
  • Responsible for on-site execution of the event, including oversight of suppliers and staff, registration, F&B, evening events, general session, breakouts, ground transportations, VIPs, sleeping room accommodations.
  • Identify, analyze, and monitor potential risk. Utilize risk management techniques and strategies. Provide contingency plans and appropriately manage emergencies.
  • Foster clear, consistent, and open collaboration with business partners across the organization.
  • Identify and pursue new ideas and constructive change to improve the value derived from Galderma meetings.
  • Drive compliance with all legal and regulatory rules and guidelines for internal meetings.
  • Monitor performance against objectives and budgets providing periodic updates to business partners.
  • Participate in special projects with Department Leadership or cross-departmental teams as needed.
  • Conduct pre-conference and post-conference meetings and perform post-event analysis.
  • Act with integrity, initiative, and sound judgment to reinforce trust, professionalism, and commitments.
  • Communicate regularly and effectively with both internal and external colleagues as appropriate.
  • Collaborate, inspire, and partner with Procurement, Finance, and fellow colleagues to achieve and exceed objectives.
  • Attend Seminars and Training that are relevant to the job description and meetings industry.
  • Stay current with trends, new technologies, and all regulations affecting the meetings /corporate industry

Key Qualifications
  • Bachelor's degree required.
  • 5+ years of progressive experience, in one or more of the following areas: Meeting and Event Management, Hospitality Industry or other Meetings related field, Pharmaceutical Sales Operations is preferred
  • Certified Meeting Planner Designation preferred.
  • Strong organizational skills; Capable of managing prominent levels of detail and handling multiple activities/tasks under pressure.
  • Demonstrate ability to actively listen to needs of business partner and formulate meeting strategy.
  • Demonstrate ability to communicate effectively with both internal and external colleagues.
  • Demonstrate ability to develop and lead meetings with senior leadership.
  • Demonstrate ability to lead, motivate and influence at all levels of the organization.
  • Demonstrate ability to foster and leverage professional relationships.
  • Demonstrate ability to identify and solve contractual and operational business challenges.
  • Demonstrate excellent customer service skills.
  • Demonstrate excellent organizational skills and attention to details.
  • Demonstrate excellent time management skills.
  • Demonstrate proficient use of Microsoft Office Suite and CVENT.
  • Willing and able to travel domestically and internationally 15%-20% of the time.
  • Highly proficient with Microsoft Teams, SharePoint, Outlook, PowerPoint, Word, Excel
