JOB DESCRIPTION

Overview:

This role is the bridge between IT and the assigned function (HR, Finance, Operations, Commercial, Legal). Involve working closely with the respective functional team to gather requirements and ensure these are clear and well understood by all parties involved; working with various IT teams internally to ensure business needs are met; support system testing and implementation. Engage with vendors to ensure delivery of services, exploration of new functionalities etc. where required. Includes managing projects as well and supporting the business in the day-to-day operations.

RESPONSIBILITIES

Responsibilities:

Application Software Roadmap

  • Work closely with functional leaders and/or their assigned delegates to review the functional application roadmap on a semi-annual basis, to ensure business needs are reviewed and aligned to organizational goals.
  • Support functional leaders in getting the projects approved; provide technical specifications and documents, proposal where required.
  • Work closely with Project Manager to identify functional projects that are approved for short- and long-term implementation.
  • Review and determine the resources required as per updated roadmap, work out the project plan and timeline with functional leaders, project sponsors, subject matter experts and end users.
  • Research, recommend and acquire software applications that will contribute to the success of the company and propel growth forward.
Applications Software Management
  • Provide day-to-day functional support for relevant systems and decide when to escalate issues to the respective IT teams for resolution and support.
  • Provide knowledge sharing and guidance on the usage of functional systems in the areas of usage, enhancements, new features etc. and continuous improvements - optimization, redesign etc.
  • Establish protocols for functional applications and ensuring their ease of use for others; recommend areas for improvements.
  • Oversee software analysis, design, development, configuration, customization, unit testing and system integration for new projects and enhancement requests.
  • Review and approve project documentations - translated user requirements into technical specifications and test scripts required for system development and deployment.
  • Supervise and plan for software applications updates; review all communication plans and ensure these are disseminated before functional systems maintenance/updates.
  • Monitor performance of functional systems; diagnose performance issues and implement corrective actions where appropriate.
  • Lead UAT whereby any change request affects globally.
  • Organize trainings to stakeholders on usage of functional systems.
  • Ensure systems are backup regularly and backups are stored securely.
  • Ensure strict adherence to the Solution Delivery Process Guide (SDPG) and the organization's Policy and Operating Manuals.
Vendors & Sub-Contractors Management
  • Manage vendors and their sub-contractors where necessary; prepare and gather details required for product demonstration, briefings with functional stakeholders to support the delivery of key projects and/or ad hoc services.
  • Manage application maintenance outsourcing & software contract agreements; ensure compliance to mitigate risk, increase service/business impact and reduce costs.
  • Evaluate the feasibility and cost-effectiveness of the solutions recommended by vendors/sub-contractors, gather feedback from stakeholders; provide alternative solutions where appropriate.
  • Monitor and evaluate delivery outcomes and recommend remedial actions where necessary.
  • Conduct review sessions with vendors/sub-contractors and internal stakeholders respectively.
Documentation, Reporting, Insights & Analytics
  • Develop a centralized documentation system and share functional systems' user guides for reference.
  • Develop training guides for functional systems in collaboration with respective functional stakeholders and L&D team where applicable.
  • Review and ensure all details for change requests to functional systems are captured and signed off by the respective stakeholders.
  • Review and update BCPs annually; lead and activate BCPs when required.
  • Manage and address routine and ad-hoc report requests from stakeholders.
  • Report on progress of operational issues to senior management, end users and stakeholders.
  • Analyze data and present to management team on the effectiveness of projects implemented; identify gaps and address it accordingly.
  • Resolve data availability and data quality challenges.
  • Participate in the internal and external compliance audits when called upon; including the provision of audit request items, interviews etc.
Financial Management & Leadership
  • Manage financial budgets for both specific projects and day-to-day running of department.
  • Balancing competing project constraints including but not limited to scope, quality, schedule, budget, resources and risks in order to accommodate the needs of each function.
  • Lead and coach the IT teams; ensure the teams are strong to support the business; inspire the teams to accomplish the department's objectives.
  • Translate business and department's objectives into actionable plans for the team.


QUALIFICATIONS

Qualifications:

EDUCATION

General Education
  • Bachelor's Degree or equivalent level in Computer Science, Information Technology or related fields
EXPERIENCE

General Experience
  • Substantial general work experience together with comprehensive job related experience in own area of expertise to fully competent level (Over 6 to 10 years). This is a global role.
  • Regional experiences, experience in handling three or more countries, cross regions or exposure to an MNC environment is advantageous.
Managerial Experience

Experience leading a team of 4 to 8 people (Over 2 to 4 years)

Candidates must be within 250 miles of an APL Logistics facility or office.

The typical starting salary range for this position is: $104,860 - $128,130.

The actual salary offer will take into account multiple factors including skills, experience, education and location. Please note that the salary details listed in role postings reflect the base salary only, not total compensation, which includes bonus and benefits.
