We currently have an exciting career opportunity in our Administration team for an Executive Assistant based out of our Baltimore office in a hybrid capacity.

CohnReznick is a hybrid firm and most of our professionals are located within a commutable distance to one of our offices. This position is considered hybrid (3 days/week in the office; possibly more during busy tax seasons) which means team members are expected to alternate time between both remote and office. YOUR ROLE.

Responsibilities include but not limited to:

  • The Executive Assistant will be responsible for providing a broad spectrum of support to our Assurance and Tax Department and Partners in a fast paced, challenging and rewarding environment.
  • Requirements include extensive people, communication, organizational, technical and process skills, and the ability to continuously prioritize multiple projects.
  • Support Audit Partners and Directors to include but not limited to calendaring, time and expense entry.
  • Preparing and tracking of engagement letters.
  • Compose, prepare and distribute written materials for management using sound judgment including correspondence, memos/letters, agendas, presentations, and minutes.
  • Utilizing software for document retention of client information and maintain workflow processes.
  • Assist with requests for new client set ups and expansion of services for client services, assist with any updating of client information.
  • Use current Firm operating systems to keep the team updated on deadline status by client and deliverables.
  • Draft proposals and finalize proposals using PowerPoint.
  • Assist team with billing process.
  • Participate in weekly team project meetings.
  • Book travel arrangements as requested.
  • Maintain team's contacts and mailing lists.
  • Serve as a first point of contact for internal and external communication, using sound judgment in screening and responding to inquiries, prioritizing calls that need immediate attention, and triaging/resolving as appropriate.
  • Manage multiple phone lines.
  • Hospitality/Meeting coordination.
  • Perform other duties as assigned.
YOUR EXPERIENCE.

The successful candidate will have:
  • Technical Proficiency: Advanced skills in MS Office Suite (Excel, PowerPoint, Word), financial software, and the ability to adapt to new technologies quickly. This includes managing emails, calendar scheduling, creating presentations, and handling data analysis.
  • Task Management: Ability to manage multiple projects efficiently, from conception through completion,
  • Exceptional Organizational Skills: Ability to prioritize and manage time effectively, handling a wide range of tasks and responsibilities in a structured manner.
  • Adaptability and Flexibility: Capacity to adjust to changing priorities and work demands with ease, demonstrating resilience in high-pressure situations.
  • Critical Thinking and Problem-Solving: Strong analytical skills to assess situations or challenges critically and come up with effective, innovative solutions.
  • Communication and Interpersonal Skills: Excellent verbal and written communication skills, coupled with the ability to build and maintain professional relationships with internal and external stakeholders.
  • Professionalism and Discretion: High level of integrity, confidentiality, and executive presence.
  • Proactive and Anticipatory Thinking: Ability to anticipate the needs of the team and act upon them without waiting for direction, showing initiative and foresight.
  • Proven experience as an Executive Assistant, preferably in a fast-paced, high-stakes environment. Experience in a public accounting firm or professional office environment is highly desirable.
