We are seeking an Associate Project Manager in our FSP, Project Management Team.

This role will be hired at Associate Project Manager/Project Manager level depending on experience).

This role is for the North America region and is remote based.

The Associate Project Manager, drives and owns a sub-set of project-specific activities as directed by the Project Lead. May provide ownership related to the compilation tasks related to supporting overall delivery of the project (quality, time, cost) such as but not limited to: project reports, author and/or review of project plans, vendor management, management of financial activities including updates, analyses and functional lead follow up, as needed.

A day in the Life:

  • Serves as the primary contact and lead between the sponsor and the organization at the project level.
  • On projects where the scope requires, ensures clear delineation in responsibilities and communication pathways for secondary project leads (such as lead in a specific region, lead for a specific vendor(s) or subset of delivery).
  • Drives and owns the overall delivery of the cross-functional project (time, cost, quality).
  • This Associate Project Manager supports the PM in ensuring that all aspects of project management are timely attended to.
  • Sorts, files and sends out project files to the right team members, functions, and other stakeholders, owns project-associated logistic through timely involves: maintains archiving, planning, and reporting systems that the PMs are accountable for being up-to-date and synchronized across sources elsewhere in the organization as relevant
  • Establishes, communicates and manages customer expectations to achieve optimal delivery during the project.
  • Drives Risk Identification and Issue Resolution at project level (RBQM/RESOLVE).
  • Ensures project team compliance with organization policies, SOPs, ICH- GCP, regulatory and project specific requirements
Keys to Success:

Education
  • Bachelor's degree or equivalent and relevant formal academic / vocational qualification
Experience
  • Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to at least 5+ years).
  • Work experience within: Med Affairs / Real World Evidence / Post-approval
  • At least 3 year of Project-related administrative experience in a Pharmaceutical or Biotech (CRO) research environment.
  • Proven leadership skills

Knowledge, Skills, Abilities
  • The Associate PM supports the PMs' analyzing, reporting, and progress enabling/ facilitating/ driving responsibilities:
    • Prior to project team meetings, collects and formats agenda topics and supporting documents to optimize legibility. During these meetings, supports the PMs by templating and drafting conclusions and actions of all project decisions for the PMs to nuance and supplement, and ensures that these are consistently vetted among meeting attendees, archived, and adequately delivered to the various functions as directed by the PM, including project information for documentation, clarification, and presentation to management.
    • Takes charge of logistics related to project work and under the PM's accountability, such as scheduling (attendees, time and place) of project-related discussions, presentations, seminars/trainings, team building. Ensures timely involvement of the admin pool (who own logistics per se) to ensure that for example travel arrangements, off-site meetings, and internal catering are in place and communicated with participants.
    • Follows up on PMs' instructions to remind project workers of accepted tasks per project guidance and timelines, and supports where possible by including helpful guidance, formats, and/or prior correspondence on the topic/ request.
  • Makes useful suggestions to the PM on best practices to support project execution and/ or merging existing practices and stay aligned with PMO/ corporate standard.
    • Contributes specific strategies/ process improvements/ templates for easier and effective execution of projects.
  • Off-loads PMs from repetitive/ established project-related administrative tasks e.g.,
    • Creation and maintenance of purchase orders (PO).
    • Monthly back-up generation of project plans and project charters
    • Insertion of resource data (standards or latest best estimates) into project plans.
    • MediSpend: recording of (all project-related) interactions with healthcare entities.
    • Maintenance of team compositions
    • Assurance of complete on-boarding of new(ly assigned) team members and organize proper farewell - this supplements the default on-boarding from a corporate perspective that is taken care off by the Admin Pool.
    • Set up and maintenance of project-related SharePoint and Teams sites, including access rights.
    • Ownership of monthly project reporting processes i.e., ensuring timely collection and compilation of content and correct distribution (Some reports, Newsletters).
    • Other administrative tasks to evolve within PM practices
Skills & Competencies
  • While the Associate PM will constantly seek advice and direction from the PM, he/she has the knowledge and skills to work independently in the absence of the PM ("self-starter").
  • Personal drive to apply project management principles around collection and structuring context, planning, reaching out proactively, supportive, facilitating, enabling, and double checking correct understanding; looking to learn.
  • Excellent skills with Microsoft Word Office, Excel, PowerPoint, Outlook etc.
  • Ability to pay attention to detail.
  • Good communication skills, proficiency in English.
  • Ability to overcome hurdles.
  • Ability to manage time effectively.
  • Some experience with MS Project; willingness to master it.
