Job Description Summary:

Under the supervision of the General Counsel, the Assistant Paralegal provides complex, independent, administrative management to ensure efficient and effective operations of the Office of General Counsel and assistance for and on behalf of the General Counsel of the West Virginia School of Osteopathic Medicine (WVSOM), including the WVSOM Board of Governors, West Virginia School of Osteopathic Medicine Foundation, West Virginia School of Osteopathic Medicine Alumni Association, and Mountain State Osteopathic Postdoctoral Institutions, Inc. The Assistant Paralegal will also provide complex, independent support to the Legal Operations Manager and the Institutional Compliance Officer, and serves as the initial point of contact for administrators, faculty, staff, students, alumni, external entities and individuals, and other visitors to the office.

This is a full-time position exempt from FLSA provisions regarding overtime. Not all activities of this position occur within the confines of an 8:00-4:30 schedule and will require regular evening and weekend scheduling. Some travel including overnight travel may be required. This position has been designated as Essential. This means that when WVSOM is faced with an institutional emergency, employees in such positions may be required to remain at their work location or to report to work to protect, recover and continue operations at WVSOM.

Education and ExperienceThe successful candidate will have an Associate's degree in legal studies or business, or a related field and three years of recent and related experience, including progressively responsible experience in an office or legal office setting. A combination of education and experience may be considered. Knowledge, Skills and Abilities

  • Ability to work well under pressure with highly sensitive issues that, at times, can become volatile. Must maintain ethical integrity and strict confidentiality.
  • Ability to gain a thorough knowledge of the West Virginia Higher Education System and WVSOM, with the ability to understand the political and legal ramifications of one's actions or inactions.
  • Knowledge of federal, state, and higher education law as applicable to the day-to-day operations of a state higher education institution.
  • Knowledge of the broad principles and application of law, evidence, pleadings, and judicial procedure in West Virginia.
  • Skills in legal research through various methods such as Westlaw, code and rule books, or other resources to access legal references such as statutes, recorded judicial decisions and legal codes; analyze and evaluate information obtained; condense into concise written forms; and draft a recommended action along with justification.
  • Exemplary interpersonal, communication, and customer service skills and the ability to work effectively with a wide range of constituencies in a diverse community and demonstrated ability to establish and maintain cooperative working relationships with all constituents at WVSOM.
  • Demonstrated experience working effectively, empathetically, fairly, and non-judgmentally with students, faculty, staff, public safety, community members, and other campus visitors is essential.
  • Strong project management skills with the ability to manage multiple simultaneous projects and work assignments from a variety of individuals all with challenging deadlines.
  • Strong conflict resolution and diplomacy skills; attention to detail; critical thinking ability; evidence of working cooperatively and collaboratively with others in a diverse, complex environment.
  • Proficiency in Microsoft Office Suite is required with the ability to quickly adapt to additional WVSOM applications (TeamDynamix, SharePoint, etc.).
  • Demonstrated ability to work independently.
Duties and Responsibilities:

  • Serve as administrative support to the Office of General Counsel by providing complex and independent support to the department. Serve as a point of contact for the department; greet visitors to the department; determine the nature of the visit; field the questions or concerns; and, direct to the appropriate individual within the department.
  • Assist in the management of the calendars and schedules of the General Counsel, Institutional Compliance Officer, and Legal Operations Manager.
  • Draft written correspondence, memoranda, and other legal documents as directed for the General Counsel's approval.
  • Assist with coordinating, organizing, and reimbursements for all travel arrangements for the department staff and others as assigned or directed.
  • Purchase and maintain office supplies for the department.
  • Manage incoming communications as appropriate, both verbally and in writing.
  • Provide basic analysis of various information, prepare basic outlines and summaries, and provide suggestions as needed or requested.
  • Take and draft minutes from meetings and/or notes as assigned or directed.
  • Use legal resources such as Westlaw online, code and rule books, indices, and other online or print tools for basic legal research, as requested.
  • Maintain filing systems. Ensure the filing of documents by organizing in an easily accessible format. Provides copies of information from files upon request.
  • Serve as a central repository of file maintenance and organization in the department. Organize and manage documents and/or digital files, including the creation of spreadsheets and retrieval systems.
  • Maintain all incoming and outgoing correspondence including mail retrieval and organization.
  • Plan and coordinate arrangements for conferences, luncheons, and other meetings or events as related to the department. This includes travel arrangements for the Office of General Counsel staff and/or outside vendors; scheduling and setting up luncheons; ordering supplies for events; and any other associated tasks.
  • Participate in training or other professional development as related to the position as well as serve on committees as requested on behalf of the department and/or the institution.
  • Coordinate and manage special assignments for the department as assigned or directed.
  • Actively maintain client confidence by keeping attorney/client information confidential.
  • Other related duties as assigned.
