AP Specialist

START RIGHT AWAY

• Invoice Processing:
  
  • Receive, review, and verify invoices.
  • Match invoices to purchase orders and receiving reports.
  • Enter invoices into the accounting system.
• Payment Processing:
  
  • Prepare and process electronic transfers, ACH payments, wire transfers, and checks.
  • Perform check runs and ensure timely payments to vendors.
• Vendor Management:
  
  • Maintain and update vendor files.
  • Communicate with vendors regarding payment status and resolve discrepancies.
  • Establish and maintain positive vendor relationships.
• Reconciliation:
  
  • Reconcile accounts payable transactions.
  • Resolve discrepancies in account statements and balances.
  • Perform monthly reconciliations of AP sub-ledgers to the general ledger.
• Expense Reports:
  
  • Review and process employee expense reports.
  • Ensure compliance with company policies and proper documentation.
  • Process reimbursements timely.
• Month-End and Year-End Close:
  
  • Assist with month-end closing activities.
  • Prepare accruals and reconcile accounts.
  • Maintain accounts payable reports and schedules.
• Record Keeping and Compliance:
  
  • Maintain accurate and organized AP records.
  • Ensure compliance with company policies, accounting standards, and regulations.
  • Assist with audits by providing necessary documentation.
