Under the direction of the Director of Finances and Business Operations for ITI, the Administrative Services Coordinator will provide administrative support to Iowa Technology Institute's (ITI) faculty and staff for research programs including serving as liaison, providing administrative assistance, compiling and preparing information and reports, and coordinating dissemination of information for internal and external resources.

This position is not eligible for University sponsorship for employment authorization.

Specific Job Duties and Tasks

  • Provides a welcoming reception for all visitors to ITI, whether in person or by telephone, during regular office hours. Directs visitors to the appropriate staff member and/or makes appointments for them. Resolves immediate concerns of visitors/callers as appropriate. Receives and coordinates building deliveries.
  • Answers ITI telephone line, returns calls, and follows up with callers to resolve questions.
  • Provides functional/administrative supervision for office assistants/students.
  • Creates job description, interviews, and hires students to assist ITI at the main office front desk.
  • Coordinates purchasing requests with University Shared Services for office and laboratory supplies, etc.
  • Maintains and uses a pcard for student travel expenses and other purchases as requested by the Director of Finance and Business Operations.
  • Assists in the coordination/preparation of strategic ITI plans in support of the DEO and Director of Finance and Business Operations.
  • Acts as primary contact for ITI by providing information and responding to inquiries. Gathers and provides information using available resources.
  • Communicates website updates to MARCOM personnel.
  • Serves as liaison to faculty, staff, students, alumni, and public concerning inquiries/requests requiring interpretation of policies, procedures, and programs.
  • Serves as liaison between ITI and UI student services.

Education Requirement
  • A bachelor's degree or an equivalent combination of education and experience.

Required Qualifications
  • Minimum of 6 months of administrative or office coordination experience.
  • Demonstrated proficiency in both written and verbal communication with the ability to edit and/or compose grammatically correct documents in a logical and organized manner.
  • Must be proficient in Microsoft Office suite (Word, Excel, Power Point).

Desired Qualifications
  • Excellent organizational skills.
  • Demonstrated ability to independently manage and prioritize multiple responsibilities and tasks while successfully meeting deadlines.
  • Demonstrated attention to detail and critical thinking skills.
