Overview
Admin support for Commercial Gene Therapy, Head of BD, Head of Tech Ops and Head of Program Management. This role will support: GTx, Tech Ops, Business Development, and Program management.
Responsibilities
Position Summary (Overview of Role):This role provides daily and on-going administrative support to five leaders within the organization. The ideal candidate will be experienced in handling a wide range of administrative support related tasks and will be able to work independently with little or no supervision. This is a non-supervisory position. This role will report to the Commercial Head of Gene Therapies and will directly support the following:
- Head of Technical Operations
- Head of Business Development
- Head of Program Management
- Commercial and strategy operations Gene Therapy
Responsibilities (Essential Role Responsibilities):Additional representative responsibilities will include, but not necessarily be limited to, the following:
- Responsible for proactively managing calendar, scheduling meetings and resolving related conflicts
- Book travel arrangements and organize itineraries
- Preparing expense reports
- Organize both onsite and offsite meetings and preparing meeting rooms for workshops and hybrid meetings
- Preparing printouts or other materials needed in advance of meetings
- Preparation and revision of presentations including graphs, charts, interpreting conceptual designs to produce finished products using appropriate PC tools such as PowerPoint, Excel and Word
- Preparation and tracking of budgets and vendor contracts; other projects requiring software/graphics expertise.
- Submitting vendors contracts/renewals to Jagger and Oracle, and follow up with approvals and payments with internal stakeholders (Procurement, AP, finance etc.)
- Setting up, maintaining files and general correspondence
- Interfaces with other Executive Assistants to complete Corporate initiatives.
- Responsible for following-up on assigned tasks
- Handle other responsibilities as assigned
Position Requirements (Required and/or Preferred Skills, Experience and Education):Education:- A minimum of a High School Diploma; Bachelor's degree preferred
Experience:
- Minimum of 3 years administrative assistant experience supporting senior level management required
- Ability to manage the needs of multiple constituents
- Ability to exercise discretion in dealing with confidential or sensitive matters
- Ability to handle multiple projects simultaneously while remaining flexible to shift priorities quickly
- Ability to excel in a fast-paced environment, sometimes under pressure, with a high level of professionalism is crucial to this role
- Communicate professionally with senior leadership and all stakeholders
Skills and Knowledge:
- Excellent calendar management skills
- Must have excellent communication skills (verbal and written).
- Highly organized with a strong attention to detail, clarity, accuracy, and conciseness.
- Ability to manage multiple projects simultaneously
- Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to prioritize based on business need
- Ability to operate with a sense of urgency
- Highly motivated toward achievement and surpassing set goals
- Desire to learn and take on challenging assignments

Salary Range $29 - $39 an hour
