Position Purpose:

The Administrative Assistant supports the director, deputy director, and associate director for curatorial affairs through contributions to meeting schedules, travel arrangements, expense reporting, and administrative support. This is a 2-year term position.

Required Qualifications - Education and Yrs Exp:

Associates or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities:

  • 1-3 years work experience in an office environment.
  • Excellent communication and interpersonal skills.
  • Ability to deal articulately with a diverse range of people in both departmental and public settings.
  • Strong organizational skills and ability to balance priorities and meet deadlines in a fast-paced office.
  • In-depth knowledge of office procedures.
  • Initiative, sound judgment, and ability to work independently.
  • Proven ability to maintain confidentiality and to appropriately handle confidential information.
  • Strong writing, detail editing, and proofreading skills.
  • Highly proficient in the use of computers and software applications, including Microsoft Windows Suite and database management, and demonstrated ability to learn new applications.
  • Availability and willingness to work occasional weekend and evening assignments.
  • Commitment to diversity and to serving the needs of a diverse population.
Preferred Qualifications:

  • Bachelor's degree.

Calendar Management - Maintains the director, deputy director, and associate director for curatorial affairs' calendars, including scheduling and preparing for meetings with internal and external constituents.

Office Communications - Coordinates and facilitates phone, email, and mail communications for the director's office with internal and external museum constituents, museum staff, college departments, and the general public.

Administrative Support - Prepares reports, presentations, and other written materials. Assists with special events and visitors. Takes minutes for staff meeting, director's reports group meeting, public art committee meeting, and acquisitions committee. Contributes to general office management, including supervising the student office assistant when the position is filled.
