Private Equity firm located in Midtown, Manhattan is seeking to hire an Administrative Assistant who will support ~8 members of the Business Development team. This role will primarily involve providing comprehensive administrative support to the department, including heavy calendar management, travel coordination, and event planning assistance. Hours are 8:30am-5:30pm with paid OT as needed, on-site 4 days per week (Fridays remote) with flexibility for 5 days upon request. The ideal candidate will possess exceptional communication skills, a proactive mindset, and a strong work ethic.
Responsibilities:
- Manage complex calendars, executing the scheduling of various meeting types such as virtual and in-person internal team meetings and external client meetings.
- Coordinate travel arrangements, ranging from local to international travel, for team members, ensuring all logistics are organized and efficient.
- Assist with roadshow coordination, data entry, and ad-hoc project support.
- Proactively maintaining the stock of printed marketing presentations and ensuring the utilization of current materials.
- Provide administrative support for the Firm's annual meeting, including coordinating logistics in conjunction with the team's various workstreams leading up to the event and assisting with day-of on-site coordination.
- Maintain accurate records and databases, including managing expense reports.
- Serve as a point of contact for internal and external stakeholders, demonstrating professionalism and responsiveness in all communications.
- Perform ad hoc administrative tasks and projects as assigned.
Qualifications:
- Bachelor's degree, or equivalent combination of education and experience.
- Minimum of 5 years of administrative support experience, preferably in a corporate environment.
- Experience with travel coordination and expense reporting preferred.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Proficient in utilizing technology, including Zoom and conference room systems.
- Strong communication skills, both verbal and written, with the ability to interact professionally with individuals at all levels of the organization.
- Exceptional organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Innovative thinker who consistently seeks to improve processes and approaches tasks with creativity and flexibility.
- Ability to work independently and collaboratively as part of a team, with a positive attitude and willingness to learn.
- Flexibility in hours to cover early morning/later day meetings. Required to work in-office Monday through Thursday, with occasional Fridays as needed.
Compensation/Benefits:- Competitive compensation package includes base and bonus plus the opportunity to receive carried interest, 401k match and company sponsored health benefits. This position is eligible for overtime in accordance with applicable state laws
