Position Summary:This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station.
The University Libraries, one of the largest research libraries in the south, is an essential part of the University s educational and research efforts. It includes 9 libraries on campus, including the Health Sciences Library, Walter Royal Davis Library, Louis Round Wilson Special Collections Library, and the R.B. House Undergraduate Library. The University Libraries hold approximately 9.7 million volumes and extensive collections of manuscripts, audio visual materials, microforms, graphics, government documents, and rare books.
The Fiscal Services Department of the University Libraries consists of seven positions and provides financial planning, financial services, and business services and support. Responsibilities include:
Budget planning, managing, and analyzing 300 University accounts from all funding sources: state, trust/endowment, and grants.
Developing and implementing financial policies and procedures.
Leading financial support with Library Facilities and Space Planning maintenance and renovation needs for Davis, Wilson, Health Sciences, R.B. House, and several branch libraries.
Providing business knowledge and assistance to internal and external customers.
Developing and maintaining financial and operational internal controls.
Ensuring financial and business compliance with Federal, State, and University regulations.
Analyzing, developing, and implementing accounting information systems and creating decision-ready management reports.
Planning and procuring the necessary services, equipment, supplies, and library materials to keep the libraries operational and provide for the research needs of faculty, students, and other stakeholders including researchers, doctors, preceptors, hospitals, and other medical agencies.
Functioning as liaison between University and Libraries for business information and needs.
The primary purpose of this position is to support the work of the Fiscal Services Department of the Libraries. This includes, but is not limited to:
Managing workflow of library material transactions including adjustments, reimbursements, reconciliations, and deposits.
Assisting with deposits including credit card payments for collection of fines and payment of services for both UNL and HSL. Responsibilities also include assisting with revenue tracking as needed.
Completing reconciliations for all source types and expense categories according to the needs of Fiscal Services and the Libraries.
Identifying and completing adjustments and corrections as needed to maintain accurate transactions, reports, and funding structures.
Managing and reconciling the purchasing card activity for library material purchases.
Processing purchases and payments made through multiple methods including requisitions, vouchers, wires, cash advances, blanket plans, and purchasing cards. Must be able to determine the appropriate method of payment based on the transaction details.
Assisting with data analysis, financial data distribution, reporting, and maintaining data integrity.
Assisting with month-end and year-end closeout of Sierra, a library-specific system.
Assisting with budget management to ensure year-end spend out.
High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Required Qualifications, Competencies, and Experience:*Ability to work independently and in a team-oriented setting.
*Ability to communicate effectively
*Excellent attention to detail, and ability to accurately implement policies and procedures.
*Working knowledge of Excel and Word processing applications
*Demonstrated organizational skills, and the ability to prioritize.
PeopleSoft and accounts payable experience.
